23 short guides to the family portal, check-in and passes, tuition and renewals, safety, and the staff console. Looking for a walk-through instead? The guided tours inside the portal and the console highlight each screen for you.

Getting started

Create your family account, claim an existing record, and choose a term. Everything else follows.

Create your family account

One account holds every athlete in your family.

  1. Open Create account and enter your name, email, and a password of at least eight characters.
  2. We email a six-digit code. Enter it on the next screen — the code expires in ten minutes.
  3. You land in the Family Portal, where you can add each athlete, sign the agreements, and enroll.

Already train with us? Claim your record

Moving an existing family into the portal keeps their history.

  1. Open the welcome-back link from your invitation email, or look your family up by the email we have on file.
  2. Confirm your guardians and athletes — nothing is duplicated, the existing records are linked to your new account.
  3. Choose the term and training days you want. Any payments already made to us are recorded on your ledger and applied at enrollment.

Book a complimentary evaluation

A measured session before you commit to a term.

  1. Pick an open slot on the evaluation page and tell us about your athlete.
  2. You receive a confirmation with directions and an add-to-calendar link. Reschedule or cancel up to 24 hours before.
  3. Results are explained at the end of the session, and a place is offered in the track that fits.

Enroll for a term

Athlete details, training days, agreements, payment.

  1. In the portal, choose Enroll and pick the athlete you are registering.
  2. Choose the access tier (one, two, or three days) and the specific training days — remaining places show on each day.
  3. Complete the medical and pickup details, sign the agreements, and review.
  4. Pay the deposit or the full amount. The place is held as soon as payment lands.

The Family Portal

Your home page, attendance, results, payments, renewals, passes, and safety settings live here.

Where everything lives

A two-minute guided walk-through of the portal.

  1. Action Required collects anything waiting on you: a registration to finish, a document to acknowledge, a balance due.
  2. Training and Progress hold attendance, published reports, and measured results.
  3. Payments, Renewal, Pass, and Safety sit in the tabs along the bottom on a phone and the top on a desktop.
  4. Tours at the bottom of the menu replays the walk-through at any time.

Reading your athlete's progress

Five measured tests, every term, with trends over time.

  1. Open Progress to see each athlete's latest results against their own baseline.
  2. Skill mastery and development charts show movement across the term, not just a single number.
  3. Coaches publish a written report each cycle; it appears under Training as soon as it is released.
  4. Turn on result notifications in the portal to be emailed when new results or personal bests are published.

Payments, plans, and credits

What is due, what has been paid, and what is credited.

  1. Payments shows the balance, the installment schedule, and every entry on your ledger.
  2. Installments are charged to the card you saved at checkout; you authorize this when you enroll.
  3. Referral, scholarship, and term credits show as credits and are applied before any charge.
  4. A cancelled session is pro-rated back to your ledger automatically — no request needed.

Renewing for the next term

Your days are held, then released if you have not decided.

  1. The renewal window opens partway through the term. Your current days and plan are pre-filled.
  2. Choose Renew as-is, Change days, or Not continuing — a reason helps us plan capacity.
  3. A deposit reserves the place and is applied to tuition. Credits are used first.
  4. Turn on auto-continue to keep the same days every term without re-deciding.

Documents and acknowledgments

Sign agreements and confirm required reads.

  1. Anything you must sign or acknowledge appears in Action Required.
  2. Signed agreements are kept in the portal with the version you accepted and the date.
  3. Required reads stay marked until you acknowledge them; we keep the record of when you did.

Texts, email, and who we contact

Check-in and safety alerts go to guardians; you choose the channel.

  1. Confirm your mobile number in the portal so check-in, pickup, and safety alerts reach you.
  2. Choose text and/or email per guardian. Pickup and safety alerts always send on at least one channel.
  3. Reply STOP to any text to opt out of all texts; operational email continues.
  4. Result notifications are separate and off by default.

Check-in, passes, and pickups

Four ways to check an athlete in, and one rule for release: only a guardian or an authorized pickup may collect an athlete.

How check-in works

QR pass, keychain tap, session code, or the coach's roster.

  1. QR pass: open Pass in the portal and show the rotating code to the coach's scanner.
  2. Keychain: tap the athlete's Foundry tag on the coach's phone — the link holds no personal details.
  3. Session code: scan the coach's on-screen code at the base to mark your athlete arrived.
  4. A coach can always mark an athlete on the roster by hand if a phone is unavailable.
  5. Report an arrival in advance when you are close by; the coach confirms it when your athlete is received.

Who may collect your athlete

Authorized pickups, restricted persons, and photo release at the door.

  1. List the people who may collect your athlete under Safety, and keep it current.
  2. A person you have restricted is flagged to staff; release is blocked until the Program Director resolves it.
  3. At the door, the coach matches the person to the authorized list before releasing the athlete.
  4. Update the list yourself at any time — every change is recorded.

Missed sessions and make-ups

Tell us before the session; make-ups depend on capacity.

  1. Report an absence from Training as early as you can — the coach sees it on the roster.
  2. Request a make-up on a day with space; the Program Director approves or offers an alternative.
  3. If we cancel a session, your ledger is credited automatically and you are notified.

Safety and safeguarding

Medical plans, head-injury protocol, and how to raise a concern. Every coach is cleared before they lead a session.

Medical action plans

Required for asthma, severe allergy, seizures, and diabetes.

  1. Upload the signed plan and authorize the emergency medication staff may assist with.
  2. Plans renew annually; we remind you at 60, 30, and 7 days before expiry.
  3. The coach sees the plan on the session roster, including where the medication is kept.
  4. If the Program Director marks the plan as required to train, an athlete cannot be checked in while it is missing or expired.

Head injury and return to play

No return to training without written clearance.

  1. If a head injury is suspected, the athlete is removed from the session and you are told the same day.
  2. A safety hold blocks check-in until you upload written clearance from a licensed healthcare provider.
  3. The Program Director reviews the clearance and lifts the hold. You can follow the status under Safety.

Raise a concern

Anything about safety, conduct, or a session.

  1. Use Report a Problem in the footer, or contact the Program Director directly.
  2. You get a reference code immediately, and a person — not an autoresponder — follows up.
  3. Safeguarding concerns are handled by the Safeguarding Officer and never wait for a scheduled review.

For coaches and staff

Running a session, clearance, equipment, vehicles, and compliance. Staff sign in with their own work account.

Your console

Each role sees only the pages it needs.

  1. Program Director opens with season control: enrollment, revenue, leads, and what needs attention.
  2. Coaches open on Today: the next session, the roster, and the week's leadership trait.
  3. Marketing opens on lead activity and the campaign toolkit.
  4. Tours in the sidebar replays the walk-through for your console.

Run a session

Start, receive, release, finish.

  1. Open Check-in, confirm required medication is present, and start the session.
  2. Receive each athlete by scanner, keychain tap, session code, or by hand.
  3. Release an athlete only to a guardian or an authorized pickup — restricted persons are blocked and flagged.
  4. End the session to close attendance for the roster.
  5. Cancelling a session issues pro-rated credit and notifies families automatically.

Getting cleared to coach

Seven phases before you take a session alone.

  1. Your clearance file opens as soon as your staff account is approved: offer and profile, disclosure, certifications, screening, references, standards, orientation.
  2. Upload each item in your own file; the Program Director reviews and approves.
  3. Sensitive documents stay with the Director only.
  4. Until clearance is complete, your console shows your own file and profile and nothing else.

Compliance documents

Permits, insurance, and certifications with expiry dates.

  1. Every document carries an issuer, expiry date, and renewal lead time.
  2. Reminders go out at the lead time, then 14, 7, and 0 days before expiry.
  3. An expired permit shows a warning on the base; an expired certification blocks a coach from starting a session.
  4. Uploading a renewal keeps the previous version in the file history.

Equipment and vehicles

Checked in, checked out, serviced, and logged.

  1. Scan or search an item to check it out to an athlete or back in, with its condition.
  2. Inspections, cleaning, repairs, and retirements are logged per item, with the next due date.
  3. Vehicles record pre-trip checks, drivers approved to drive, trips with boarding, service, fuel, and incidents.
  4. Anything overdue appears on the Operations dashboard rather than in an email you might miss.

Privacy and your data

What we collect, what we do not, and how to change your mind.

Cookies and analytics

Analytics only runs if you allow it.

  1. Essential cookies keep you signed in and the site secure. They are always on.
  2. Analytics and advertising measurement load only after you choose Allow analytics.
  3. Page paths are stripped of athlete names, tokens, and booking references before anything is sent.
  4. Change your choice at any time with Cookie settings in the footer.

Your family's data

Who can see what, and how records are removed.

  1. Your family only sees its own athletes, records, and ledger.
  2. Staff see what a session needs: roster, medical plan, and pickup authorization.
  3. Sensitive documents — court orders, screenings — are visible to the Program Director only.
  4. You can delete your account from the portal; records we must keep for safeguarding or tax are retained and explained at the time.
